Notes from our July 7 monthly 1-hour team call

We had our regularly scheduled first Monday of the month 1 hour call tonight, from 5 to 6 pm Pacific time.
Special thanks to Lee and Supriya who both stayed on the phone with us until a couple minutes after 9 pm their time.

Julia introduced the call and our agenda.
Sarah introduced Supriya.

Supriya acknowledged the expression of our love for THP and the work of THP that our work on these activities represents, that amidst everything else in our lives we have put together this series of events. She thanked us on behalf of the women and men she'll be representing at these events.

Supriya talked about the similarities in the actions of our partners in India and here in the Bay Area. We are building an awareness, creating awareness as we build our own skills, building a databank of information. As we build our resources and skills we are becoming a force to be reckoned with, just as our partners overseas are becoming. As we build new connections each time we talk to someone, we are building a body of people who can become a critical mass.

Supriya asked us to focus on what the follow up will be from the events, to look beyond just the events themselves, just as our partners look to how their village can grow from each action. Much discussion followed on this topic. Sarah asked how can we build on it? Barry asked, What are our villages? Part of our work is to identify the different communities we can impact. For example, the Friday, July 25 event at Symantec can ultimately impact all of Symantec worldwide, and also could be expanded to impact women-focused employee resource groups at many large corporations in the USA.

Supriya asked, What are your goals? Will you raise $X in the 5 days, will you reach 200 people in the community? What are your intended results?

Sarah laid out 3 key questions that we should answer for each event:
1. What is our intention? (Purpose and intended results)
2. What is the content of the meeting (to deliver on 1)?
3. What is the "ask" for this event?

Supriya emphasized again that 1 should include a financial target, and that this kind of goal will enable Supriya to call herself forth at 150%.
Sarah mentioned that Supriya had previously said "I am a resource for your team."
Supriya added "The silver bullet is not having me there. The silver bullet is what you are doing."

Amy W said we need to make sure we do what we need to prior and during the events so that we'll be able later to do the kind of follow-up we want.
Supriya suggested that her team in the Global Office can create a packet for the Saturday participants, about THP, including some of the recent media hits.
Barry said, yes let's do that, but also at least have a clipboard at each event where people can give us their contact info. Julia said these are business events, have a place for people to drop their business cards.

Julia asked, given that we want to spread awareness, and we already have with these events, how can we measure that. Barry said for example we could target a number of media mentions, and start laying the groundwork for those now. Discussion followed. Sarah will work with Anastasia and others in the Global Office (Lee, Jenna) on the media efforts.

Patti the asked, are we going to have a fundraising target?
Discussion followed.
We decided to have 2 kinds of targets:
A. Amount we will raise during the 5 days of events.
B. Amount we will raise during those 5 days and afterwards from the contacts developed in these events, up until September 15 (about 6 weeks later).
We settled on $20,000 for A, although 3 or more people wanted $50,000, and $50,000 for B.
Sarah suggested that after we clarify the Purpose & Intended Results for each event, we should relook at these targets.
Sarah (?I think) will be setting up a call with a smaller group to develop the P&IRs.

Adam said he didn't realize until this call that we had 7 events!
He suggested perhaps another event, a low key event for major donors who could not make the others, something that would be easy to set up. Lee and Supriya will discuss further.

With 7 minutes left, we moved to a discussion of invitations. Sarah and Barry had discussed previously how to split up calling current investors. We have about 525 Bay Area investors in Universe A (gave in 2008) and Universe B (last gave in 2007), plus another 188 in Universe C (last gave in 2005 or 2006).
We decided to focus on A and B. Barry offered to get names and phone numbers (only) out of THP's database and send lists of 50 to those who were willing to call people.
We're only calling those donors (at any amount) who have no fundraiser specified or have LBT (Laura Burt) or LS (Lee Stuart) specified.
5 people on the call agreed to call people from these lists:
Amy W, Sarah, Julia, Barry, Nelly
I've already sent a list of names and phone numbers to each of them.
Sarah is working on the calling script.
Tomorrow the evite emails will go out from THP office to all Bay Area investors, for the Saturday and Sunday events.
We discussed using the CRM. Lee said it's fine to use the CRM to track our calling activity, however we don't yet have approval to do any mass transfers of data from THP database to the CRM.
So, when making calls, you should:
1) After you call someone, enter them into the CRM as a new contact, and enter the result of your call.
(I'll enter the events into CRM so you can add your people to them there.)
OR
2) Send an email to Sarah or Barry (Sarah re: the Saturday event, Barry re: the Sunday event, or if it's easier, just send both to one of us).

Adam said he's very excited about what we accomplished on CNN today. Lee said, yes, we are tracking the results from that. By 4 pm today, we were the 2nd most-watched video on cnn.com!!!

Barry mentioned the July 17 corporate philanthropy event at the SF Hilton. I'll send a separate email about this.
